    Business Science Technology (BST) was looking for a more efficient way to manage its online registration system and improve attendee experience. After adopting Cventís event management platform, BST staff members eliminated their most time-consuming tasks and began successfully increasing conference attendance numbers, expanding BSTís event initiatives and using a mobile event app to better engage their attendees.

    Problem

    BST used an internally developed online registration system for its major conferences, but the system could not accommodate rising attendance numbers and BST's desire to grow. The BST staff began feeling overwhelmed.

    What They Wanted:

    • Funnel attendees down different registration paths and integrate with BST's CRM software.
    • Allow registrants to modify their own registrations and receive credit.

    Two Products, One Solution

    Event Management

    Prior to Cvent, the staff had to manually keep track of clients and prospects in both BSTís CRM system and event management system. With Cventís integration capabilities, all contact data and registration information in BSTís CRM system gets automatically updated in Cvent. Kyle Ellingsberg, events administrator at BST, also loved how he could use old events as templates and simply build upon them or make minor changes to future events. He said, ďI like how we donít have to build a completely new event landing page and registration page each year. The process saves between 10 and 15 hours for every event.Ē BST continues to expand its events Ė in the companyís third year using Cvent, upwards of 2,400 people flocked to its Safety in Action Conference, a 10.2% increase from the previous year.

    CrowdCompass

    BST offered its first-ever app in 2013 and conference attendees loved it! Not only was it downloaded by 50% of attendees, the app had 4,700 page views, 1,500 session openings, and nearly 700 banner clicks. BST promoted app usage through the event website and registration pages, email blasts, pre-conference webinars, orientation sessions, QR codes provided by CrowdCompass, and on-site conference collateral. Achieving BSTís mission of adding value to the attendee experience, the Safety in Action mobile app allowed attendees to build their own schedule by allowing them to quickly browse different sessions by topic, day, or presenter, and flag the ones they were interested in.

    The Results

    Growing Global Presence

    In its third year with Cvent, BSTís attendance and participation grew across the board. The company plans on increasing its number of conferences from two to four by adding new ones in Brazil and Chile. BST can now focus on growing its global presence.
